Viewing Reports on the Spooler

Use the Spooler Control screen to view and select reports. If authorized, you can also print, fax, or email the reports in Hold Entry.

To view reports on the Spooler Control screen:

  1. From the System > Printers menu, select Your Hold Entries or All Hold Entries to access the Spooler Control screen.

  2. If you select Your Hold Entries, the system displays the screen with the following information entered in the fields:

Field

Description

Time Zone

Your time zone.

User

Your name.

Displayed Folder

The folder which contains the reports displayed on this screen. The default is Primary.

To change the Displayed Folder, use the Change Displayed Folder hot key.

Folder

The name of the folder that contains the report.

To move the report to another folder, type that folder's name over the displayed folder name.

Report Title

The name of the report, which the system may or may not assign.

To enter or edit a name, type the name in the field.

Completed

The date and time in your time zone that you sent the report to Spooler Control.

The system also displays the number of the report that the cursor is on and the total number of reports in the list at the bottom of this field.

NV

Displays non-viewable reports. If a report has non-printable data, such as binary data, the system marks the report as non-viewable. You can also mark a report manually if you know that the data is non-viewable.

Note: If you use the View hot key for a report marked non-viewable, the system displays the following message: This file has been marked as non-viewable, displaying may cause undesired behavior within the viewer. Do you want to continue? (Y/N). This prompt defaults to No.

Field

Description

User

The default user name: ALL.

Orig ID

The ID of the user who ran the report.

Report Title

The name of the report, which may or may not be assigned by the system.

Completed

The date and time you sent the report to Spooler Control.

  1. Select a report.

  2. To change the selection parameters for the reports you are viewing, use the Slct hot key to display the Hold Entry Selection Criteria screen.

  3. Use the following hot keys, as needed:

Hot Key

View

Displays the report on the Hold Entry Pre-View screen.

Print

Displays the Print Options screen.

Delete

Deletes the report on which the cursor is positioned. The system prompts you to confirm the deletion.

Delete By Date

Displays a date prompt for you to enter a date for the system to delete all reports older than that date in the displayed folder.

Note: You can only delete your copy of a report. The last user to delete a report also deletes it from the system.

Process

Processes uploaded data, such as new product prices or new inventory lists, to update files. The system provides standard processing types. Click here to view a list of these types.

Delete Displayed Folder

Deletes the displayed folder and all reports contained in the folder. The system prompts you to confirm the deletion. You cannot delete the Primary folder or All folders.

Note: If you forward reports to other users, the reports are deleted regardless of their purge dates.

Purge Date

Allows you to change the purge date assigned to the report.

Purge All Date

Sets a new purge date for all reports in the displayed folder.
