Maintaining Zip Codes

Use the zip code maintenance functionality to enter or edit tax and ship via information for a zip code, manage jurisdiction overrides, and valid route types.

Note: Use the CUST.TAX.VIEW authorization key to allow users view-only access to the tax information in Customer Maintenance.

To enter or edit tax and ship via information for a zip code:

  1. From the Maintenance > Zip Code menu, select Zip Code Maintenance to display the Zip Code Maintenance window.

  2. In the Zip Code field, enter a zip code or do one of the following:

  3. Click New - Prompts you to enter a new zip code.

  4. Enter a city - Displays a list of all zip codes associated with that city. Select a name from the list.

  1. Use the General tab to Closedenter the default parameters for the zip code.

    Field

    Description

    Country

    enter the name of the country associated with the zip code.

    State

    enter the name of the state associated with the zip code.

    You must enter information in the State field if either of the following conditions occur:

    Note: If you are entering information for a foreign vendor or customer, type a "." (period) in the State field.

    Default Tax Jurisdiction

    select the appropriate jurisdiction code from the list.

    Because taxes apply to states and jurisdictions within a state, you can assign the tax jurisdiction codes to zip codes. The Zip Code File then serves as the link between a customer and the taxes charged to the customer. The Zip Code file is originally created with a Default Tax Jurisdiction of OOS (out-of-state) for each zip code.

    Tax jurisdiction codes are defined in Tax Jurisdiction Code Maintenance. For more information, see Creating Sales Tax Jurisdiction Codes.

    Default Geocode

    enter a geocode if you use the National Sales Tax Database companion product. For more information, see National Sales Tax Database Overview.

    Default Ship Via

    enter a ship via that will be assigned to an order if there is no ship via defined for the terminal where the order is being written. This field is optional.

    Note: From theOptionsmenu, select Ship Vias by Branch from the to display the Zip Code Ship Vias by Branch window and enter the override ship via if a branch has an override ship via. If no default has been set for the ship via, the system will use the zip code given in this screen.

    Default Delivery Time

    enter a default time for the first truck delivery stop in this zip code. This is the time that the truck going to the indicated zip code would normally arrive at the first delivery stop. The person in charge of manifests uses this time to schedule delivery stops. This field is optional.

    Note: From theOptionsmenu, selectShip Vias by Branchto display the Zip Code Ship Vias by Branch window and enter the override delivery time in theDelivery Timefield if a branch has an override delivery time. If no default has been set for the ship via, the system will use the zip code given in this screen.

    Remit-To Override

    select the name of the override remit-to entity you want to use for the zip code. The remit-tos on the list are those entered on the Remit-To Override Maintenance screen.

  2. Use the Jurisdiction Overrides tab to Closedenter city and jurisdiction information.

    Column

    Description

    City

    Displays the cities associated with the designated zip code are listed. If necessary, you can add a new city to the list.

    Jurisdiction Override

    enter an override tax jurisdiction code or geocode if a city or district within the zip code is subject to different taxes. This column is optional.

    From theOptionsmenu, selectBranch Tax Jurisdiction Overrideto display the Zip Tax Jurisdiction Maintenance window and enter the override code if a branch has an override jurisdiction code. This field is optional.

    Note: To assign a local or city tax in addition to the tax in the jurisdiction associated with the zip code, first create the tax code specific to the city, and then enter it in the Jurisdiction Override column that corresponds to that city.

     

  3. Use the Valid Route Types tab to set ship via route types.

  4. To clear the window to enter additional zip code information, click New. You are prompted to save your current changes.

  5. Save your changes and exit the window.
