Running the Credit Hold Report

Use the Credit Hold Report for analysis on your orders with credit holds. This report provides you the latest information and shows you either in detail or summary the credit limit information, including temporary limits, the orders that were either system-released or user-released, and the generation information for credit parameters set in Entity Maintenance Credit Control Parameters.

Note: If the Total Credit Hold check box is selected in the Credit Control Parameters to place the customer on complete credit hold, then users are prevented from entering new sales orders for the bill-to customer or the ship-to accounts tagged to it, regardless of their credit limit or current A/R balance. New quotes can be entered, but they cannot be converted to sales order until this credit hold is removed. New in Release 9.0.4.

You can define the report based on the home branch or shipping branch depending on your needs and filter the results by shipping date or release dates.

To run the Credit Hold Report:

  1. From the A/R > Reports and Journals menu, select Credit Hold Report to display the report driver.

  2. In the Home Branch/Territory field, enter the home branch, branches, or territories for which you want to review credit hold information.

  3. In the Ship Branch/Territory field, enter the ship branch, branches, or territories for which you want to review credit hold information.

Note: You must be in Detail mode to select this option.

  1. In the Ship Date area, define the time frame for which you want to review credit hold information.

If you run the report in Summary mode, the Ship Date field becomes the As of Date field and End Date field is deactivated.

  1. If you want to report by when credit holds were released, select Release Dates and use the Start Date and End Date fields to define the time frame for which you want to review the release dates.

  2. In the Customer field, enter the customer or customers for which you need to review credit holds.

  3. In the Credit Manager field, enter the manager or managers by which you want to review credit holds. This selection limits the report to only those managers selected.

  4. In the Sort By field, select which way you want report results sorted: Customer or CreditManager.

  5. Use the Sort Order area to indicate which way you want the sort results based on your Sort By selection: Ascending or Descending alphabetically.

  6. Use the Mode area to select which results you want to display. See What this Report Shows below to view the columns that display for each mode.

  1. Set options, if needed, and generate the report.

What the Report Shows

The following columns display on the Credit Hold Report depending on the values you select and how you set up your column options. Columns marked with an asterisk (*) display in Detail mode only. See Step 10 above.

Column

Description

Customer Bill-To

The customer bill-to number.

Customer Ship-To

The customer ship-to number.

Customer Name

The name of the corresponding bill-to customer.

Order Number*

The order number assigned by the system.

Order Date*

The date the order was created.

Order Amount*

The total amount of the order including all generations.

Order Credit Hold Reason*

Reason the order was put on credit hold according to the parameters defined on the Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

Credit Exposure

The credit exposure days set on the Additional Info tab in Credit Control Parameters in Customer Maintenance for this customer. If that field is blank, the system displays the setting in the Number Of Days In Future For Credit Exposure In Open Orders control maintenance record.

Credit Limit

The current credit limit as defined on the Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

Max Credit Limit

The maximum amount of credit allowed for the customer based on the temporary credit limit parameters set Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

Amount Over Max

The amount over the maximum credit limit calculated based on the credit limit parameters set Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

% Over Max

The percentage over the maximum credit limit based on the credit limit parameters set Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

Temp Credit Limit

The current temporary credit limit based on the temporary credit limit parameters set Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

Temp Cr Lim Dt

The date the temporary credit limit expires as listed on the temporary credit limit parameters set Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

Released By*

The user name of the person who released the order from credit hold. If this column is blank, the order has not been released. When the order is system-released, this column displays **SYSTEM**.

Credit Manager

The customer's credit manager.

Date Timestamp of Hold*

The date and time the hold was created. If this column is blank, the order has not been released.

Date Timestamp of Release*

The date and time the hold was released. If this column is blank, the order has not been released.

Release Orders Under

The dollar amount under which orders can be released. This is the same value as listed in the Maximum Order Limit field set in the Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

Release Daily Up To

The dollar amount daily under which orders can be released. This is the same value as listed in the Maximum Daily Limit field set in the Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

Order Status*

The current status of the order.

Hold*

Indicates if the order is currently on hold as of the running of the report. These orders display in the Open Order Status Review Queue.

Ship Branch*

The shipping branch for the order.

Writer*

The order writer who created the order.

Ship Via*

The ship via the order is using.

Past Due Limit

The amount a customer is allowed to be past due and still create orders. This is set Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

Past Due Days

The number of days a customer is allowed to be past due and still create orders. This is set Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

Terms

In Summary mode, this column displays the terms code set in the Credit Limit tab in Credit Control Parameters in Customer Maintenance for this customer.

In Detail mode, this columns displays the terms code set on the order.

Date Opened

The date when the account was created or the customer record was created.

Total $ On Hold

(Summary mode only) The summary of all the orders on hold by credit parameters in the Open Order Status Review Queue.

Total $ Not On Hold

(Summary mode only)  The difference between the open sales orders for the customer and the total dollars on hold on the orders.

Total

This is the total accounts receivable.

Deposits

Total deposits

Future

The current aging buckets as apply to the selected customer by months.

Over 30

61- 90

91 - 120

Over 120

Total over 30

The sum of the aging bucket totals from Future through Over 120.

% Over 30 of AR

The percentage of accounts receivable over due by 30 days.

% Over 30 of CL

The percentage of credit limit over due by 30 days.

Total over 60

The sum of the aging buckets over 60: 61-90. 91-120, and over 120.

% Over 60 of AR

The percentage of accounts receivable over due by 60 days.

% Over 60 of CL

The percentage of credit limit over due by 60 days.

Bill To Name

Name of the customer bill-to.

Credit Parameter Flags

Displays the value of the credit parameters as set in the Credit Limit tab in Customer Maintenance Credit Controls window.
