AOE CMNT (Comments) Control Maintenance Records

The following control maintenance records belong to the CMNT (Comments) area within the AOE (Inventory Adjustments) category.  

Allow Zero Average Cost in Inventory Adjustments

Indicate whether the system allows zero average costs to be the cost of goods sold in inventory adjustments, when the system uses an average cost basis as the global COGS basis. ClosedMore:

Options

  • Y - Uses the average cost as the cost of goods sold, even if it is zero.

  • N - Uses the replacement cost as the cost of goods sold.

Outcome of setting this control record

If set to Yes, zero average costs are used as COGS.

If set to Yes, the system uses zero average costs when the system uses an average cost basis as the global COGS basis.

Additional Information

Authorized users can override the cost on the adjustment.

Inventory Adjustment Default View

Select the view to display when users enter the Inventory Adjustment Entry window. ClosedMore:

Options

  • Standard - The window does not display an extended cost column.

  • Extended Cost - The window displays an additional column, which shows the extended cost of line items in whole dollars.

Outcome of setting this control record

Controls whether cost information is displayed when you enter or view an inventory adjustment.

Prompt For Reason For Change In Product Location Maintenance

For each branch, indicate whether the system prompts for a comment when a user changes a product's quantity in Product Location Maintenance.  This record does not apply to RF Location Maintenance. ClosedMore:

Options

  • Yes- The system displays the Reason For Change prompt when a user makes a change to a product location.

  • No- The system does not display the Reason For  Change prompt.

Outcome of setting this control record

Provides the user the opportunity to enter information about why they are making the change in quantity for a product. Comments can help those who review the inventory adjustments.

Additional Information

Comments are displayed in Inventory Adjustment Entry in the Product Description field under the description of the product whose quantity was changed.

Require Change Log Comment On Inventory Adjustment

Select whether the system requires users to enter change log comments for inventory adjustment edits and, if so, how the system uses them. ClosedMore:

Options

  • Yes - Prompts users to enter a comment in the change log.

  • No - Does not prompt users to enter a comment in the change log.

  • Display on Adjustment - Prompts users to enter a comment in the change log and then adds their comments to the inventory adjustment as a general comment.

Outcome of setting this control record

Setting this record gives you the opportunity to better track changes made to an inventory adjustments.

Valid Inventory Adjustment Comments

On the Default G/L Accounts for Inventory Adjustments screen, enter inventory adjustment comments that are acceptable entries in the Header Comment field on the Adjustment Order Entry screen. Also enter the default G/L accounts to which the adjustments post. ClosedMore:

Settings

The left side of the screen displays valid comments. At the top are System Defined Comments. In the User Defined Comments column, enter additional user-defined comments, up to 40 characters long, as needed.

In the Offset Account column, for each comment press F10 and select the default G/L account to which this type of adjustment should be posted.

Outcome of setting this control record

If header comments are defined in this record and the Validate Inventory Adjustment Header Comments  control maintenance record is set to Yes, the system validates comments entered in the Header Comment field of Inventory Adjustment Entry against the comments defined here. If this record is left blank, the Header Comment field in Inventory Adjustment Entry allows free-form (not validated) entries.

If the Offset Account column is left blank for a comment, the system posts the adjustment to the Inventory Adjustment Charges account.

Additional Information

When running the Print Inventory Adjustment Register Report, you can limit the report to adjustments associated with one of the inventory adjustment comments defined in this record if the Validate Inventory Adjustment Header Commentscontrol maintenance record is set to Yes.

The maintenance log records separate entries for each field. To view maintenance log entries, position the cursor on a field and click View Log.

Validate Inventory Adjustment Header Comments

Indicate whether the system validates the comments entered in the Header Comment field in Inventory Adjustment Entry. ClosedMore:

Settings

  • Yes - The system validates comments in the Header Comment field in Inventory Adjustment Entry against the comments defined in the Valid Inventory Adjustment Commentscontrol maintenance record.

  • No - The system allows free-form entries in the Header Comment field.

Outcome of setting this control record

Determines if a user can enter their own comments for inventory adjustments, or are restricted to those defined in the system.
