EMAIL General Control Maintenance Records

The following control maintenance records belong to the EMAIL (E-Mail) category.

Branch-Specific E-mail HTML Logos

For each pricing branch, when applicable, enter the complete URL of the logo image the system uses on e-mailed invoices, purchase orders, and regular html e-mails sent from that branch. ClosedMore:

Settings

  • In the Br/Tr/All field, enter the branch or territory for which to specify an e-mail logo. Enter ALL to specify logos for all branches and territories.

  • In the Image URL field, enter the complete URL of the logo image, including your domain address and the path to the image. For example, enterhttp://www.eclipseinc.com/emailimages/br3-logo.gif.  

  • In the Doc Color field, press F10 and select the background color to be used for the logo.

Outcome of setting this control record

Applies the logo you enter for the branch for all e-mailed invoice, purchase orders, and other e-mails that you send from the system.

Branches that are left blank use the image specified in the E-mail HTML Logocontrol maintenance record.

Additional Information

To set the same image for all your branches, enter All in the Br/Tr/All field, set the image in the first branch, and then use the Set All hot key.

If you are using the Shipment Notification - View Order URL control maintenance record, this control maintenance record must be set to send the branch-specific logo on the shipment notification e-mail.

Corporate Customer

Enter a default entity record for which activity triggers are defined. This record provides a safety net to catch activity triggers that were not set up for a customer, vendor, or branch that should cause a corresponding activity to occur. ClosedMore:

This record only works with respect to activity triggers. An activity trigger is an event that causes something else to happen. You can specify activity triggers for customers or vendors. When an activity trigger occurs, the program looks for a defined activity first in the ship-to (pay-to) record, then the bill-to (ship-from) record, then the branch entity record, and then the entity specified in this control maintenance record.

E-mail Attachment Settings

Note: If you are running Eclipse Forms, this control maintenance record does not apply.

Select which format you want to use for system-generated sales order and purchase order documents and statements that are sent using e-mail. ClosedMore:

Options

  • Tiff of Print Form - Creates a .tiff image file using the Print form.

  • Tiff of Fax Form - Creates a .tiff image file using the Fax form.

  • PDF of Print Form - Creates a .pdf file using the Print Form.

  • PDF of Fax Form - Creates a .pdf file using the Fax form.

Outcome of setting this control record

If you use Eclipse Forms, determines the format for e-mailed documents through your Forms servers.

E-mail Body For Orders Sent As Tiff Attachments

Enter the message you want the system to send in e-mails to which orders are attached as .tiff files.

For example, your message might be, "Please click on the attachment to view your document."

E-mail Body For Statements Sent As Tiff Attachments

Enter the message you want the system to send in e-mails to which statements are attached as .tiff files.

For example, your message might be, "Please click on the attachment to view your document."

Email BCC List Size

New in Release 9.0.5

Limits the number of email addresses allowed in the BCC field of an email. If the number of email addresses exceeds the number entered here, then the system splits the email addresses into groups sending the message to each group.

E-mail Footer Text

If the Use E-mail Footercontrol maintenance record is set to Yes, enter the text of a footer, such as a privacy statement, for the system to attach to every outbound e-mail. ClosedMore:

Any free form text you would like to include in the footer of your e-mailed forms.

Outcome of setting this control record

All e-mailed acknowledgments, bids, statements, and invoices display this statement in the footer.

No footer message is included, even if the Use E-mail Footercontrol maintenance record is set to Yes.

Additional Information

The footer text can contain the string &SENT.TO.ADDR&, which the system replaces with the e-mail address in the To Address field.

E-mail HTML Logo

Enter the complete URL of the logo image the system uses on e-mailed invoices, purchase orders, and regular html e-mails. ClosedMore:

Settings

  • In the Domain Address field, enter your domain address. For example, enter http://www.eclipseinc.com.

  • In the Image Path field, enter the path within the domain to the graphic for the logo. For example, enter /emailimages/ie-logo-notag.gif.

  • In the HTML Doc Color field, press F10 and select the background color to use with the logo.

Outcome of setting this control record

The system uses this logo on all outgoing e-mails, unless a logo is defined at the branch-level in the Branch-Specific E-mail HTML Logos control maintenance record. If branch-specific logos are set, the system uses those instead of the record defined here.

Additional Information

If you are using the Shipment Notification - View Order URL control maintenance record, this control maintenance record must be set to send the company logo on the shipment notification e-mail.

E-mail Message On Bids

Enter the message you want the system to append to the end of e-mailed bids.

E-mail Request - Subject Of Response For WOE Login/Password

Enter the text to display in the Subject line of the e-mail message sent by the system to a Web Commerce customer or contact who forgets their login or password and clicks the link requesting help. ClosedMore:

Outcome of setting this control record

If the customer or contact forgets their login name or password and clicks the link to request that information, they are prompted to enter their e-mail address. The system searches for the customer or contact associated with that e-mail address and responds with this message containing the login name and password assigned to that name.

Outbound E-mail Logging BCC

Use this record to send a blind carbon copy of all e-mails to an e-mail address used for logging purposes. ClosedMore:

Settings

  • In the E-mail Address field, enter the logging e-mail address.

  • In the Subject Prefix field, enter the prefix to display in the subject line of the copy sent to the logging e-mail address.

Outcome of setting this control record

The system appends this address to all e-mail BCC lists, but does not display the address in the BCC field.

Users can override by using the Sender BCC field when creating an e-mail.

The system does not send blind carbon copies of system-generated e-mails.

Additional Information

Users must be assigned the EMAIL.LOG.BCC authorization key to set this control maintenance record.

Standard hierarchies apply when using this setting. The system checks this control maintenance record first, then checks the User Maintenance BCC setting. Users can override both of these settings at the e-mail level.

Show Customer Part # On E-mail P/O For Directs

For direct purchase orders the system sends by e-mail, indicate whether the system adds customer part numbers, when they exist, to the line item comments. ClosedMore:

  • Yes - Shows customer part numbers.

  • No - Does not show customer part numbers.

Outcome of setting this control record

Provides customer part numbers for products on the direct orders. This can provide additional information to your customers and vendors regarding the products on the order.

Indicate whether the system shows page breaks on plain-text e-mail orders. ClosedMore:

Outcome of setting this control record

Your customers can use a variety of software settings such as resolutions and different fonts on their computers, and there is not a way to control what settings or software they have for viewing items such as e-mail. For better readability of plain-text e-mails, use this control record to indicate on e-mails that span multiple pages where the natural page breaks would occur.

Use E-mail Footer Text

Indicate whether you want the system to append footer text, such as a privacy statement, to all outbound e-mails. ClosedMore:

  • Yes - Footer text is appended to every outbound e-mail.

  • No - Footer text is not appended to outbound e-mails.

If set to yes, all outbound e-mails contain the footer message entered in the E-mail Footer Textcontrol maintenance record.

Valid E-mail Preference

Enter e-mail preferences to assign to an e-mail in the Pref field on the Internet Information Maintenance screen. Preferences can be up to five characters long. E-mail preferences can be names such as Plain, XML, and HTML. You can use Report Writer to select on e-mail types and preferences specified on the Internet Information Maintenance screen for doing mass mailings.

Valid E-mail Types

Enter e-mail types to assign in the Type field on the Internet Information Maintenance screen. Types can be up to 10 characters long.

Typical e-mail types are Business, Technical, and Personal. You can use Report Writer to select on e-mail types and preferences specified on the Internet Information Maintenance screen for doing mass mailings. If you are going to use the StarShip automatic e-mail function, you must define a valid e-mail type of AUTO-EMAIL.
