The following control maintenance record belongs to the CR (Credit) area within the SOE (Sales Order Entry) category.

Check Credit When Adding Items To Processed Invoices

For each branch, indicate whether the system checks credit parameters when an authorized user adds line items or quantities to a closed (invoiced) order generation to determine if the customer is over their credit limit. ClosedMore:

  • Yes - When a user who has authorization adds products or changes quantities on a closed order generation, the system checks the customer's credit parameters to ensure they are within their credit limits.

  • No - Does not check credit parameters.

Outcome of setting this control record

Determines if the system checks to determine if the customer has reached the credit limit set for them in Customer Maintenance when a user adds products to a closed order generation.

Check Customer Credit On Procurement

For purchase orders and transfers, indicate whether the system allows an authorized user to procure an item for an order that causes a customer to exceed their credit limit. ClosedMore:

  • Yes - When procuring an item — using the Create PO and Add to PO options in the Procurement Confirmation window for purchase orders, and the Create Xfer and Add to Xfer options in the Transfer Confirmation window for transfers — the system checks the user's SOE.CREDIT.RELEASE authorization key, which determines whether they can release the credit hold. If the user releases the credit hold, the system places the item on the order, notifies the buyer and order writer, and makes an entry in the order log.

  • No - The system allows the user to procure an item for an order on credit hold.

Outcome of setting this control record

Determines if the system checks a customer's credit limit when a user tries to procure an item to an order that is on credit hold due to the customer exceeding their credit limit.

  • Yes - Prevents users from consolidating SOE credit and rebill generations on a single generation.

  • No - Allows users to take advantage of the single-generation credit and rebill functionality.

Disable Phantom Processing For Credit Sales Orders

Indicate whether the system disables Phantom processing of credit sales orders. ClosedMore:

Options

  • Yes - The Phantom prints but does not process credit sales orders. The Phantom updates the log to indicate that the generation has printed. The next time the Phantom runs, this credit does not print again. You must manually process credit orders.

  • No - The Phantom prints and processes credit orders.

  • Call When Complete - After the credit has been printed, the status of the credit generation changes to Call When Complete so the credit generation is accessible in the Customer Calling Queue.

Determines how the system Phantom handles credit sales orders.

Flag Product As Exceptional In Sales Order Entry For

Select when the system flags products as exceptional for a credit/rebill transaction in sales order entry. ClosedMore:

Options

  • NON - None - Stock, regardless of the type of Credit/Rebill being done.

  • All - All - Exceptional, regardless of the type of Credit/Rebill being done.

  • CR - Credit/Rebill - Exceptional, only if the user performs both a Credit and a Rebill.

  • C - Credit Only - Exceptional, only if the user performs a Credit Only.

  • R - Rebill Only - Exceptional, only if the user performs a Rebill Only.

  • COR - Credit Only or Rebill Only - Exceptional, if the user performs a Credit Only -or- a Rebill Only.

  • CCR - Credit Only or Credit/Rebill - Exceptional, if the user performs a Credit Only -or- a Credit and Rebill.

  • RCR - Rebill Only or Credit/Rebill - Exceptional, only if the user performs a Rebill Only -or- a Credit and Rebill.

Regardless of how this control maintenance record is set, the system flags products as exceptional only if they are flagged as Stock before the credit/rebill is performed

Outcome of setting this control record

Determines in what circumstance the system considers a product on a credit/rebill sales order to be exceptional. The system ignores sales flagged as exceptional from the demand calculations.

Example(s)

If a product is flagged as Defective before a credit/rebill, the system keeps the Defective status after the credit/rebill is complete. This rule does, however, apply to products with a tagged status. Products that are tagged on the generation upon which a credit/rebill is performed change to Exceptional when appropriate on the credit and/or rebill generations.

Include Open Orders In Credit Balance

Select the category of open orders to include when the system calculates a customer's credit balance. ClosedMore:

Options

  • All - Subtracts open, unshipped, sales order amounts (excluding bids) from a customer’s available credit limit. Most companies choose the All setting.

  • Tickets Only - Is used in conjunction with a special T order status, which is generally only used in some companies during system implementation.

  • None - Subtracts unshipped orders in the calculation of available credit.

Outcome of setting this control record

When the Phantom picks up a ticket for processing, it checks the customer's available credit, whether the order puts them over the limit, and whether parameters are set correctly to let the system process the order. This record determines which orders it includes when calculating a customer's available credit balance.

Determines the balance shown in the Available field in A/R Inquiry.

Indicate whether the system notifies the credit manager when a user releases an order on credit hold for pick up now. ClosedMore:

Max Days In Future Before Warning In Temporary Credit Limit

Enter the number of days before warning the user about the temporary credit limit date and asking for confirmation. ClosedMore:

New in Release 8.7.8

For example, if you want to keep credit limit extensions within 3 days current date, set this field to 3. As long as the date selected in the Temporary Credit Limit Settings in Customer Maintenance's Credit Control Parameters is within three days of the current date, then the credit is allowed and the order is processed. If the date selected is past the number of days selected, the system warns the user of the date they selected and asks if the date is correct.

Move Tags When Rebill PO Generations Are Created

Determine if tags are in original generation or move with the new generation. ClosedMore:

Options

  • N- If the original PO is rebilled (from the Body tab, Edit > Credit/Rebill) and contains a tag, with the control record set to "N" (default setting) the tag will persist in the original generation that was rebilled.

  • Y - Set to "Y" to move the tag from the original generation to the new Rebill generation. Sites that want to continue moving the tag to the Rebill generation will need to set the control record to "Y".

Notify Credit Manager Of Pick Up Now Credit Holds

Indicate whether the system notifies the credit manager assigned to a customer when a user places a pick up now order on credit hold. ClosedMore:

  • Y - The system sends a tracker to the user or message group assigned to the customer in the Credit Manager field in the Credit Controls window'sAdditional Information tab in Customer Maintenance.

  • N - The system does not send a notification to a user or message group.

Outcome of setting this control record

Determines if a message is sent to a customer's credit manager when the customer has a sales order with a Pick Up Now ship via placed on credit hold because it exceeds the customers credit limit.

Number Of Days In The Future For Credit Exposure Calc In Open Orders

Use to exclude orders with a ship dates far into the future so as not to adversely impact customer's credit limits. Enter the number of days beyond which open orders with ship dates exceeding the number of days are omitted from the credit checking process. ClosedMore

When using this exposure setting, the system checks all open order ship dates to compare the date to the exposure setting and today's date.

You must have the Include Open Orders In Credit Balance control maintenance record set to All or Tickets Only.

  • All - The system takes all open orders and open invoices into account for the open amount.

  • Tickets Only - The system only checks tickets and open invoices for the open amount.

  • None - The open amount is always zero ($0.00)

 

Prompt For New Date On Credit/Rebill

Use this record to prompt users to specify a date, when doing a credit or rebilling in sales order entry. ClosedMore:

Settings

  • Prompt For New Date On Credit/Rebill - Indicate whether the system prompts users for a date.

  • Default Date For Credit/Rebill - If prompting for a date, specify the default date shown in the prompt. Select Today to default to the current date or Current Ship Date, which is shown on the order.

Outcome of setting this control record

Determines if a user is prompted for a credit or rebill date in sales order entry. The system uses the date for the new order generations that contain the credit or rebill.

Prompt for New Date On Credit/Rebill set to No, which ignores the setting in the Default Date For Credit/Rebill field.

Action if set to Null

The system does not prompt the user to enter a date and uses the current date for credit and rebill generations.

Ranking Method Used By SOE.CREDIT.REL.RANK

Select the ranking method the SOE.CREDIT.REL.RANK authorization key checks when it determines a customer's rank.

Require Credit/Rebill Code

Indicate whether the system prompts for a reason code that applies to the credit portion of a credit/rebill transaction in sales order entry. ClosedMore:

Settings

  • Yes - On the Credit/Rebill window when the specified credit/rebill function for the invoice is either Both Credit and Rebill or Credit Only, after you supply appropriate information and press Enter, the system displays a Reason Code prompt that requires you to enter a reason for the credit. The system does not display this prompt if you selects Rebill Only or None.

  • No - The system does not prompt for a reason code when a credit is issued using the Credit/Rebill function.

Determines if the system prompts for and records a reason code for the return product in a credit/rebill scenario.

Send Tagged Work Orders to Credit Review

Indicate whether to send sales orders that are tagged to work orders that are on credit hold to the Open Order Status Review Queue before beginning the work order process. ClosedMore

If an sales order contains tagged work order processes, those processes cannot begin if the customer is on credit hold. The order follows the standard credit release process before the work order can be moved to a work order In-process status. After the sales order is released from credit hold, then the entire work order is released in conjunction with that order. The system performs another credit check during the invoice process.

Update MAC When Credit/Rebill Generations Are Created

Indicate whether the system updates the moving average cost (MAC) for the products on the credit and rebill generations when the credit/rebill generations are created. ClosedMore:

  • Y - Updates the MAC for each line item.

  • N - Does not update the MAC for each line item.   

Outcome of setting this control record

Determines how the moving average cost is handled on credit and rebill order generations.

Additional Information

The setting for this control record does not change the functionality of MAC calculations on existing credit/rebill generations. The system always updates the MAC when a product is changed on an existing credit/rebill generation.
