Creating Subledger Entry Lists

Use the subledger list functionality to create, define, and view the subledgers that exist for a specific general ledger account. The use of the list varies depending on the setting in the Validation AREA in the G/L Subledgers window. For example:

Validation Type

Function

None

Allows free-form entry of subledger IDs and their descriptions. Subledgers entered with this validation type are not validated and you can make new entries on-the-fly when you are in a subledger field or column in a window.

List

Allows free-form entry of subledger IDs and their descriptions. The subledgers entered are validated when entering subledgers for the G/L account in other windows.

File

Displays the Subledger Entry window in a view-only mode with all the subledgers defined by that file. These subledgers are validated when entering subledgers for the G/L account in other windows.

Subroutine

The Subledger Entry window is not accessible for this validation type.

To create a subledger entry list:

  1. From the G/L > G/L Maintenance menu, select G/L Account Maintenance to display the G/L Account Maintenance window.

  2. In the Account field, enter or select the account to which you want to add a subledger.

  1. From the Edit menu, select Subledger to display the G/L Subledgers window.

  2. From a populated G/L Subledgers window, click List to display the Subledger Entry dialog box.

Note: If you select an option other than List in the Validation area as the validation type, the List button is inactive.

  1. In the Subledger ID column, enter or confirm the subledger ID.

  2. In the Description column, enter or confirm the description of the subledger. You must enter a description for every subledger.

  3. Click OK to save the information and return to the G/L Subledgers dialog box.

  4. Click OK in the G/L Subledgers dialog box to return to the G/L Account Maintenance window.

  5. Save your changes and exit the window.
