Reviewing Lot Order Status Information

Use the Lot Order Status Review Queue to determine whether an order is behind schedule, or whether you need to invoice the customer or pay the vendor. You can add a widget or a menu shortcut to this queue, if needed.

To review a lot order's status information:

  1. From the Orders > Queues menu, select Lot Order Status Review Queue to display the Lot Order Status Review Queue window.

  1. To reduce the number of records that display, complete any of the following fields:

Field

Description

Branch

Enter the branch, branches, or territories for which to review lot item orders. To review lot item orders for all branches, enter ALL.

This is the only require field.

Basis

Enter the basis to show lot item order costs or prices. The setting in this field determines if the A/P Billed (cost) or A/R Billed (price) column displays. The default is price.

Percent Complete

Enter the percentage of the lot item materials that have shipped to the customer. The system displays all lot items with the specified percentage or greater.

Show Hold Orders Only

Select this check box to show only orders that are being help for printing purposes.

Leave the box deselected to show all orders, if needed.

Activity Date

Enter a date after which no invoicing or shipping activity has occurred on a lot item order. The system displays all lot item orders that have no activity after the specified date.

Complete Date

Enter the date the customer expects to finish the project or job. The system displays all lot item orders with the same or earlier completion date, along with any lot item orders for which no date was entered on the Lot Item Status window.

Ship Date

Enter the shipping date from the order for lot item orders that have not shipped on or before the specified date.

Followup Date

Enter the next date to follow up on the lot item order. The system displays all lot item orders with the same or earlier follow up date, along with any lot item orders for which no date was entered in the Lot Item Status window.

Writer

Enter the writer who created the original sales order.

Inside Salesperson

Enter the inside salesperson who sold the original items on the sales order to the customer to limit the queue to orders only ordered by this inside salesperson.

Outside Salesperson

Enter the outside salesperson who sold the original items on the sales order to the customer to limit the queue to orders only ordered by this outside salesperson.

  1. Review the Closedcolumns, as needed.

    Column

    Description

    Order #

    The number the system assigned to the order upon creation.

    Note: The number in the column header indicates that the system sorts by this column information second.

    Customer

    The name of the bill-to customer who ordered the lot item.

    Note: The number in the column header indicates that the system sorts by this column information first.

    Ship Date

    The next date materials are scheduled to ship.

    Note: The number in the column header indicates that the system sorts by this column information third.

    Complete Date

    The date the customer expects to finish the project or job.

    Followup Date

    The next date to follow up on the lot item order, such as checking with the vendor or on the status on a tagged work order.

    Order Total

    The total price of the lot item, or the total cost of the lot item, depending on your selection in the Basis field.

    A/R Billed

    The amount that has been billed to the customer to date.

    Note: This field only displays if the Basis field is set to price.

    A/P Billed

    The amount that has been paid to the vendor to date.

    Note: This field only displays if the Basis field is set to cost.

    % Complete

    A number that identifies how close the job or project is to completion. For example, if the value in this field is 30, you still need to ship 70 percent of the materials on the order to the customer.

  2. Do one of the following to view more information about the order:

Order > View Order or double-click the order in the queue

edit the sales order

Order > Edit Order or double-click the order in the queue if you have authorization to edit existing sales orders.

view the sales order header information

Order > Header

view only the items on the sales order generation

Order View Items

  1. Save your changes and exit the window.
