Using the Inventory History Ledger

Use the Inventory History Ledger to review the following transaction types for a product in and out of inventory at the specified branch:

Note: If a product is tied to a work order, the Ledger only displays the work order and not the sales order to which the work order is tagged.

In addition, use this screen to view a product's activity and see how various transactions affect product availability. If necessary, make adjustments to other transactions, making more of the product available for sales.

About Authorization

The INV.SLS.LIMIT.DETAIL authorization key limits your viewing of the sales order history to accounts to which you have been assigned. Assign the OE.PRODUCT.TYPE.EDIT to users you want to be able to change stock types.

In addition, users are restricted to viewing only that information for which they are authorized by branch. Users must be assigned and S or T status to view branches that are outside their home branch assignments. If users are not authorized, the system masks the data with asterisks (***). Check the authorizations setup in the User Accessible Branches from User Maintenance.

To use the Inventory History Ledger:

  1. From the Orders > Inquiries menu, select Inventory History Ledger to display the Inventory History Ledger window.

Note: When accessing the Inventory History Ledger from other screens, the system uses the product information from those screens.

  1. In the Product field, enter the product for which to review activity.

The full product description displays in the Product Description field.

  1. Limit the information by Closedediting the header fields, as needed.

    Field

    Description

    As of Date

    Date as of which to view transactions for the selected product.

    Branch

    Branch for which to view transactions for the selected product.

    Use the ALL option if you have multiple branch locations and want to view all branches' transactions at a glance. When viewing in all branches, the system displays orders by post date with the most recent one first, then sorts by branch and transaction type. New in Release 9.0.5.

    Note: If you access this screen from the menu, the system displays the information for your home branch. You can select another branch, if needed if you are authorized.

    Note: The system respects the branch authorization by user set in User Maintenance.

    Note: Use the Check Branch Authorization for Price Branches on Select Screenscontrol maintenance record if you want the system to check authorization for price branch authorization in order to determine what to display.

    Show

    Transaction type to display. Select one of the following:

    • All - Displays all transactions for the product.

    • Sales - Displays all sales orders for the product.

    • Purchases - Displays all P/Os for the product.

    • Transfers - Displays all transfers for the product.

    • Adjustments - Displays all inventory adjustments for the product.

    • Work Orders - Displays all work orders for the product.

    • Open Serial - Displays all serialized transactions for the product

    • Rentals - Displays all rental transactions for the product.

    Note: Depending on your selection, the system may prompt for additional criteria. For example, if you select Purchases, the system prompts to select from items such as Stock, Directs, Tagged, or Defective in order to further refine the display.

    Entity

    Customer, vendor, branch, or territory for which to display transactions.

  1. Review the Closedproduct availability information for the product at the selected branch.

    Field

    Description

    On Hand

    Total amount on hand both in stock and tagged to orders.

    Committed

    Total amount committed to sales or transfer orders both in stock and tagged to orders.

    On P/O

    Total amount being purchased both in stock and tagged to orders.

    In Transfer

    Total amount being transferred from other branches both in stock and tagged to orders.

    In Process

    Total amount being picked or received both in stock and tagged to orders.

    On Work Order

    Total amount scheduled for work order processing both in stock and tagged to orders.

  1. Review the Closedinventory history information for the product.

    Note: Use the View menu to change the window view. You must be assigned the TO.PRICE.VIEW authorization key to view any price, cost, or COGS fields.

    Column

    Description

    Reference

    Transaction number.

    Post Date

    Transaction's posting date.

    Note: By default, the system sorts by post date first, then by branch and transaction type.

    Time

    Transactions are sorted by time and appear in the order that they were completed for each order. If you want to view the transaction time, you can add the Time column in the history list. Use the glass icon, on the right side of the list, to open the menu with additional options.

    Type

    Transaction quantity types for the item on the transaction.

    If you have the OE.PRODUCT.TYPE.EDIT authorization key, you can change a transaction from Stock to Except to indicate that it is an exceptional sale and should be excluded from the demand forecast calculation. Otherwise, the value in this column is view only.

    In/Out

    Incoming or outgoing quantity of product on that transaction.

    In quantities are positive. Out quantities are negative.

    On Hand

    Quantity of the product on hand.

    When multiple units of measure are defined in Product Maintenance, both the Inventory History Ledger screen and report use the unit of measure set for inventory counts (I).

    Customer / Vendor

    Customer or vendor associated with the transaction, or other information that defines the transaction, such as Xfer for transfers.

    Unit Price

    Unit price for the default unit of measure defined for inventory.

    This column displays the same overrides that display in Sales Order Entry, as follows:

    • + - Unit price determined by a matrix cell tied to a contract customer.

    • ! - Unit price determined by a customer-specific matrix cell or a system override.

    • * - The original price on the sales order for the item was determined by a matrix cell tied to a contract customer, customer-specific matrix cell, or system override, but was then subject to a manual override on the sales order.

    Unit COGS

    Unit cost of goods sold (COGS) for the default unit of measure defined for inventory.

    This column displays the same overrides that display in Sales Order Entry, as follows:

    • + - COGS cost determined by a matrix cell tied to a contract customer.

    • ! - COGS cost determined by a customer-specific matrix cell or a system override.

    Note: If the original COGS on the sales order for the item was determined by a matrix cell tied to a contract customer, customer-specific matrix cell, or system override, but was then subject to a manual override on the sales order, an asterisk (*) displays.

    Unit COGS GP%

    Gross profit percentage calculated for the item.

    Kit

    The kit ID, if the product was sold on the order as part of a kit.

    Unit Cost

    Unit cost for the default unit of measure defined for inventory.

    This column displays the same overrides that display in Sales Order Entry, as follows:

    • + - Unit cost determined by a matrix cell tied to a contract customer.

    • ! - Unit cost determined by a customer-specific matrix cell or a system override.

    Note: If the original unit cost on the sales order for the item was determined by a matrix cell tied to a contract customer, customer-specific matrix cell, or system override, but was then subject to a manual override on the sales order, an asterisk (*) displays.

    Location

    Product stocking location. You cannot change the location for a direct order.

    Serial Count

    Number of units assigned a serial number for the transaction.

    Customer PO

    Customer's purchase order number.

    Country Manufactured

    Country in which the item was manufactured.

    Lead Time

    Adjusted lead time for the item.

    Ship Via

    The ship via used for delivery of the displayed generation on the order. You can sort by ship via to see what generations have shipped or are still in process.

    Print Status

    The print status for the displayed generation on the order.

Note: Double click an order to open the order for review.

  1. At the Select the current line item and exit? prompt, click Yes. The system selects the item in the returned line item and closes the window.

  2. If the window does not close, exit the window.

Note: To print the ledger for all customers, leave the Customer field blank.

Select a link to open it in your default Web browser.

edit the storage type and location for the selected transaction

Inquiry > Edit Location

The Order Location Maintenance dialog box displays.

  • In the Type field, edit the location type.

  • In the Location field, edit the location.

  • Click Ok to save changes and exit the dialog box.

Note: You must be assigned the PRD.LOCATION.MAINT authorization key at Level 2 or higher to edit the locations.

open the selected transaction for viewing

The order entry window for the selected transaction displays.
