Creating and Deleting Procurement Groups

Procurement groups define how products are replenished to the branches. You can create procurement groups on the Procurement Group Maintenance window. When creating a new procurement group, the system populates the window with the description and other data from the previously displayed group. You can use this feature as a shortcut when creating multiple procurement groups that use the same warehouse schemes.

Enter sales, warehouse, and buying branch information to describe the warehouse schemes used to replenish the products. Do not leave any columns blank.

You can delete procurement groups if they are no longer needed.

To create a procurement group:

  1. From the Purchase > Maintenance menu, select Procurement Group Maintenance to display the Procurement Group Maintenance window.

  2. From the File menu, select New Procurement Group.

  3. In the Enter new procure group ID dialog box, enter a new ID up to 12 characters and click OK.

  4. In the Description field, enter a short description. This description prints on reports and is used in searches.

  5. If you want to enter a master group to associate with the procurement group, enter the master group name in the Master Group field.

  6. From the File menu, select Insert Branch.

  7. In the Enter new branch or territory dialog box, enter the branch or territory ID and click OK.

The system populates the Sales Branch/Territory field.

  1. In the Warehouse Branch/Territory field, enter the branch that warehouses the products for each sales branch.

  2. In the Buy Branch/Territory field, enter the branch that purchases the products for each sales branch.

  3. Use the following options as needed:

Define the transfer branches for the procure group, if your company uses central warehousing. See Setting Up Transfer Branches for Procurement

Edit > Vendors

Identify the emergency procurement vendors for the procurement group. See Setting Up Emergency Vendors for a Branch

Note: A vendor must exist in Vendor Maintenance before it can be updated.

Edit > Warehouse and Buy Branches

Select branches to warehouse and buy for the procurement group. See Warehouse Scheme Principles.

Note: You must have a line item selected to access the Branch Procurement window.

To set the Warehouse and Buy Branch:

  1. In the Branch field, identify the branch for which you want to set the warehousing and purchasing branch of the line item selected.

The Warehouse and Purchase fields update accordingly.

  1. Click OK to save your changes.

  2. Save your changes and exit the window.

  1. Use the Emergency Procure Vendors and Default LeadTime fields to identify emergency procurement vendors.

  2. Save your changes and exit the window.

Note: To save changes without exiting the window, from the File menu select Save.

Deleting a Procurement Group

You can remove a procurement group if needed. Deleting a procurement group does not alter any product data.

To delete a procurement group:

  1. From the Purchase > Maintenance menu, select Procurement Group Maintenance to display the Procurement Group Maintenance window.

  2. In the Group ID field, enter the group ID that you want to delete.

  3. From the File menu, select Delete.

The system prompts you to confirm the deletion.

  1. Click Yes to delete the record.

  2. Exit the window.
