Following Up on Bid Reminders

When trying to win a bid, you can remind yourself to follow up with the customer by creating a reminder. Use the Bid Follow Up Queue to follow up on these bid reminders.

To display summary information for this queue at all times, add a Bid Follow Up Queue widget to your Solar Eclipse main window. For more information about widgets, see Widgets and Menu Shortcuts Overview.

To follow up on a bid:

  1. From the Orders > Queues menu, select Bid Follow Up to display the Bid Follow Up Queue window.

  2. In the Branch field, enter the branch or territory for which you want to display bids. Enter ALL to display bids for all branches and territories.

  3. In the User ID field, enter the user ID of the sales order writer whose bid reminders you want to follow up on. Or, leave this field blank to follow up on bid reminders for all users.

  4. In the Cut-Off Date field, enter the last date for which to list bids.

  5. From the Follow Up Status list box, select the bid status to search for. Open is the default status. You can also choose Won, Lost, or Other.

  6. From the Win Confidence list box, select the level that you want to view. Leave the field blank to view all levels. You can choose Low, Medium, or High.

  7. In the Customer P/O# field, enter the purchase number you are searching for or leave the field blank.

  8. Click Update to display a list of bids that match your search criteria. Review the following fields:

Field

Description

Order#

A letter S (sales order) and a series of numbers used to identify the order in the system.

Date

The date the bid was written.

Follow Up

The date the bid reminder was entered.

User ID

The user ID of the person responsible for following up on the bid.

Follow Up Status

The status of the bid.

Follow Up Comments

An explanation as to why the bid has not been converted to a sales order.

Win Confidence

Indicates the confidence level you have with winning the bid. The Win Confidence is either blank, Low, Medium, or High.

Inside Salesperson

The Inside Salesperson on the order.

Outside Salesperson

The Outside Salesperson on the order.

Writer

The person with the follow up entry.

Customer P/O#

The PO# associated with the bid.

  1. Use the following menu options, as needed:

view the bid

Order > View Order

The Sales Order Entry Body tab displays the bid in view-only mode.

edit the bid

Order > Edit Order

The Sales Order Entry Body tab displays the bid in edit mode.

flag the bid after you have followed up with the customer

Edit Item > Acknowledge

The system changes the Follow Up field to "Acknowledged." The next time you display the queue, this bid will not display in the list.
