Reserving Inventory for Customers Using Reserve Inventory Orders

Use reserve inventory orders when you must have a specific amount of inventory on hand for a specific customer. For example, if you have entered into a contract or have a service level agreement to always have a specific amount of a product in stock for that customer.

The Use Reserve Inventorycontrol maintenance record must be set to Yes, and you must be assigned the SOE.RESERVE.ORDER.EDIT authorization key to enter or edit reserve orders.

You do not ship the products entered on a reserve order, but create new orders in sales order entry to ship reserved inventory to the customer. The inventory on the reserve order does not show as available to other customers, but does show as available for any ship-to customers associated with the bill-to for which the reserve order was created.

Note: Standard inventory commitment logic is used for reserve orders. The time and date that a line item is entered on an order establishes its priority in committing inventory.

Important:To release the products back into your inventory, cancel the reserve inventory order in the system.

For example, you currently have 25 of Product A on hand and no commitments. You create a reserve order for  Customer A for 10 of Product A. The following occurs in order entry:

In backorder situations for products on reserve orders, when you receive a purchase orders for the items, backorders for customers with reserve orders allocate before backordered items entered after the reserve order was entered. In other words, the time and date that the item was placed on a reserve inventory order establishes the priority for all future orders including backorders of this product until you cancel the reserve inventory order in the system.

To reserve inventory for a customer:

  1. From the Orders menu, select ReserveInventory to display the Reserve Order Entry window.

  2. In the Bill-to Customer/Order # field, enter the bill-to customer's name and select the customer from the list.

If the customer has open reserve orders, the system displays a list of the orders. To create a new order, select Create New Order from the list. To modify an existing order, select the order from the list.

  1. In the Branch field, enter the branch from which the reserved inventory will ship when the customer places an actual sales order.

If your terminal ID defaults to a shipping branch, this field defaults to that branch.

  1. In the PO # field, enter the number of the purchase order, if the customer provided one to you, that they are using to request the reserve inventory. This field is optional.

  2. In the Order By field, enter the contact at the customer who placed the reserve order. This field is optional.

  3. Enter the products the customer wants to reserve and the quantities of each:

Quantity

The amount of the item to sell, and its proportions as it is packaged for sale, such as 1 each (ea), 1 box (bx), or 1 case (cs). Enter a quantity greater than zero. To remove items from a reserve order, remove the line item in its entirety from the order.

Product Description

The description of the product to reserve. You can only enter stock and nonstock products on reserve orders, you cannot enter miscellaneous charge items.

Click Synopsis View to display line items without their entire product description.

The system displays the following additional information for the quantity and products you entered. The following fields are view-only, as you not ever ship any material from the reserve order.

The total amount of the product you currently have on hand. Use the available quantity to determine how much of your on hand quantity will only be available to the bill-to customer and its ship-tos when you create the reserve order.

Sell Price

The selling price for the product.

Extended

The quantity reserved multiplied by the price in the Sell Price field. Use the extended amount to determine the total dollar amount of the product you are reserving for this customer.

  1. Click Save Order to create an order number and reserve the products for the customers.

You can review existing reserve order in Sales Order Entry, and you can modify an existing order using Reserve Order Entry.

To cancel a reserve order:

  1. From the Orders menu, select Reserve Inventory to display the Reserve Order Entry window.

  2. In the Bill-to Customer/Order # field, enter the bill-to customer's name and select the customer from the list.

  3. From the list of reserve orders for the customer, select the order to delete.

  4. Click Cancel order.

The reserve quantities on the canceled order are returned to the available quantity for other customers to purchase.
