Viewing Sales Order Totals Summaries

Use the Order Totals Summary window to view a running total of all of the payment activity on an order. The window works for multiple generations, direct shipment orders, lot items, returns, deposits, and cash payments, and displays past shipments, payments, and future generation totals. For example, you can determine the original amount due on the order generation, how much a customer has paid to date, and how much the customer still owes.

This window can be particularly helpful in showroom environments, where orders are multi-generation and remain open over long periods of time. The window shows a running balance due and lets you drill down to view any order generation, or quickly print the summary. You can also access an A/R Inquiry that displays the customer's current account information.

To view the order totals summary:

  1. Create or open a sales order and display the order's Totals tab.

If payment is required up front, the Totals tab displays after you verify the order generation statuses. Otherwise, click on the tab to display it.

  1. From the Additional menu, select Totals Summary to open the Order Totals Summary window.

  2. Review the following columns of information, as needed:

Column

Displays each generation's...

Order ID

transaction number, whether an order generation, cash receipt, etc.

Branch

branch where transaction occurred.

Date

transaction date.

Status

order status, or transaction status such as Invoice or Cash Receipt.

Note: If the generation is a progress billing payment, the system displays *Progress Billing* next to the status description. The Original Amount for the generation will not change the Invoice Amount or the Balance. If these generations are paid, the Apply Amount effects the Balance and Payments.

Original Amt

original transaction amount.

Apply Amt

amounts applied to the transaction.

Balance Due

current running balance. The final balance displays at the bottom.

  1. Exit the window to return to the order's Totals tab.
