Entering Product Serial Numbers

Use the Serial Number Entry dialog box to view, enter, or edit product serial numbers. You can use the dialog box for serial numbers on inbound products (those you are receiving into inventory) and outbound products (those you are selling).

If you have products that require serial numbers, the system might prompt you to enter them while you are completing the following tasks:

To enter a product serial number:

  1. From the Orders menu, select Serial Number Entry to display the invoice ID prompt.

  2. Enter an invoice or purchase order number that has open serial numbers and click OK to display the Serial Number Entry dialog box.

Note: You can also access the Serial Number Entry dialog box from the Line Item Scheduling dialog box when you are receiving items on a purchase order or when you are selling items on a sales order. From the Edit menu, select Serial Numbers. The Serial Number Entry dialog box displays for the product.

  1. If necessary, select a product from the list.

  2. The Serial Number Entry dialog box displays the following information:

Description

Description

The product's description.

Order ID

The order number. Displays a purchase order number (starts with P) for inbound serial numbers or a sales order number (starts with S) for outbound serial numbers. For more information, see Understanding Product Serial Number Order IDs.

Qty Ordered

The quantity ordered.

Qty Received

The quantity received. Displays for inbound only.

Qty Shipped

The quantity shipped. Displays for outbound only.

Item #

A numbered list corresponding to the quantity ordered requiring serial numbers.

Serial Number

The serial number for each product.

  1. In the Serial Number field for each item number listed, enter or edit the serial number. Serial numbers can be up to 15 characters long.

Note: On outbound serialized products, you can select from a list of serial numbers already assigned to the items in stock.

  1. If your company tracks serial numbers by location, enter the location where the serialized product resides in your warehouse in the Location field.

If a product is set to auto-assign serial numbers when the product is placed on an order, the serial number assigned is specific to the allocated location from the pick location the system assigns for the product. To track serial numbers by location, set the Store Serial Numbers By Location control maintenance record to Yes.

  1. Complete the following additional tasks, as necessary:

Edit > Set Serial Number Range

Opens the Serial Number Range dialog box, if any numbers are unassigned.

view a list of transactions associated with the selected serial number

Edit > Serial Number History

  1. Save your changes and exit the window.
