Use user and company-defined comments to create standard comments. Your personnel can use these comments when appending to trackers or entering tracker closing comments.
For example, create a pre-defined comment for each order status, such as "Order placed. Will call when complete."
To create a standard user or company comment:
Do one of the following to display the User Comments Maintenance window:
Display the Append Message window. From the File menu, select Edit Comments.
Display the Closing Message window. From the File menu, select Edit User Comments.
From the Send E-mail screen, use the Edit Usr hot key.
From the Fax Memo window, use the Comments > Edit User Comments menu option.
In the Comment Type field, select the type of comment to create:
User - Create a user comment. Your user ID displays in the Valid For field. Only you can use the comment.
Company - Create a company comment. Company displays in the Valid For field. All personnel in your company can use the comment.
In the Comment ID field, type an ID to assign to the comment or select an ID from the list.
In the body of the window, enter or edit the comment.
Use the following menu options, as needed:
From the Edit menu, select Copy to copy the currently displayed comment to a new or existing comment ID. At the prompt, enter the comment ID to which you want to copy the current comment.
From the Edit menu, select Delete to delete the currently displayed comment.
From the Edit menu, select Append Comment to append the displayed comment to the window from which you accessed the comment.
Save the comments and exit the window.
